Connecting Calendly

Updated

Go to Settings > Integrations and find Calendly in the list.

Calendly turns your bookings into work in Lend1. When someone books one of the Calendly meetings you have switched on, Lend1 adds them as a contact (or finds them if they are already one), puts a task at the meeting time, writes a note with their answers and, if you choose, sends them an invite to apply. When they reschedule, the same task moves. When they cancel, the task is cancelled.

The connection runs one way, from Calendly to Lend1. Lend1 never creates, moves or cancels anything in your Calendly.

Before you start

  • You need a paid Calendly plan. Calendly only sends booking updates on Standard plans and above. A free account can connect, but no bookings will arrive. The Calendly row says Needs a paid Calendly plan.
  • This is a personal connection. Each team member connects their own Calendly, and each person's bookings come into their own book of contacts and tasks.
  • You need the Connect Own Integrations permission, or Manage Integrations. If Calendly has no Connect my Calendly button, ask an admin to grant you that access under Settings > Roles & Permissions. See Creating custom roles and permissions.

Connect your Calendly

Step 1: Start the connection

  • Select Connect my Calendly on the Calendly row. A dialog titled Connect Calendly opens.
  • Select Authorise Connection. Lend1 sends you to Calendly.

Step 2: Approve access in Calendly

  • Sign in to the Calendly account whose meetings you want in Lend1, and allow access.

Congratulations! Calendly returns you to your Calendly page in Lend1 with the message Integration connected successfully. The Connection section shows the account you connected and its Calendly plan, and Listening for bookings once Calendly has agreed to send bookings.

To come back to the page later, open the menu on the Calendly row and select View connection.

Choose your meetings

Nothing happens to a booking until you switch its meeting on. Until you save for the first time, a banner at the top reads Choose which meetings Lend1 should act on.

Under Your meetings, each of your active Calendly meetings has a row with its length and location:

  • Act on it: switch this on for meetings with clients or leads. Bookings of meetings you leave off (a personal catch-up, for example) are listed under Recent bookings as Not acted on, with only the meeting and its time kept, nothing about the person.
  • Send invite: switch this on to email the person an invite to apply after they book. It needs Act on it.
  • Application: the application the invite opens, chosen from your own branches (the same list as Invite to apply). It needs Send invite. Leave it on Choose an application to let the client pick.
  • Bookings (90 days): how many bookings of this meeting Lend1 has received in the last 90 days. A rescheduled booking counts once.

Select Save when you are done. The line beside it shows how many meetings are acted on, and that invites skip anyone with an open invite.

Please note: a meeting you add in Calendly appears here after you select Refresh from Calendly. Save your changes first: the button waits until there is nothing unsaved.

What happens when someone books

When someone books sets what a booking creates:

  • Add the meeting to my tasks: a task at the meeting time, on the contact, assigned to you. It shows on the Tasks page and in Up next today on the dashboard. Its title is the meeting and the person's name, and its description holds the meeting length, the location or join link, and their answers to your Calendly questions.
  • Remind me: At the time, 15 minutes before, 1 hour before or No reminder. The reminder is an email to you. If someone books inside the reminder window, the reminder goes straight away.

Every acted-on booking also does this, with the task switch on or off:

  • The contact. Lend1 uses the matching contact if the person is already in Lend1, or adds them as a new contact owned by you. An existing contact keeps their name, email and phone exactly as they are: a booking never changes them.
  • A note on the contact saying who booked which meeting and when, with their answers.
  • One entry on the contact's activity, for example "Meeting booked: Discovery call, Fri 6 Nov, 2:00 pm".
  • The invite, if Send invite is on for that meeting and the person has no open invite. It is sent once, by email.

Recent bookings at the bottom of the page lists your ten newest bookings and what Lend1 did with each. Select a name to open the contact.

Please note: if the person is already a contact owned by a colleague, the booking attaches to that contact and you can open it, but not your colleague's deals.

Lend1 does not put meeting tasks on your Google Calendar, even with Google Calendar task sync on: Calendly already puts the meeting there.

Reschedules and cancellations

When the client reschedules, Lend1 moves the same task to the new time and resets its reminder for the new time. It adds a note and an activity entry ("Meeting rescheduled: Discovery call, from ... to ..."). No new contact is made and no second invite is sent. This happens even if you have switched that meeting off since it was booked.

Please note: a reschedule changes the task's time only. The task's description keeps the details from the first booking, so check the new join link in Calendly.

When the client cancels, Lend1 marks the task Cancelled. It is greyed out and listed under the Cancelled tab on the Tasks page, and it no longer reminds you or shows as overdue. A task you already completed stays completed. Lend1 adds a note with the reason the client gave, and an activity entry. Any invite already sent stays live, in case they change their mind.

Changing, completing or deleting the task in Lend1 does nothing in Calendly. Only Calendly can cancel a meeting task: you cannot cancel one by hand.

If Calendly isn't sending bookings

The Connection section on your Calendly page tells you whether bookings can arrive.

  • Listening for bookings with a green dot: Calendly is sending bookings. It shows when the last booking arrived.
  • Calendly isn't sending us bookings, in an amber box: Calendly refused to send booking updates, or has not set them up yet. If the message mentions the free plan, upgrade in Calendly first. Then select Try again. If it keeps failing, disconnect and connect again.

Other things to check:

  • A booking shows as Not acted on. Its meeting is switched off. Switch Act on it on and select Save. Bookings made before that are not processed again.
  • A meeting is missing from Your meetings. Make sure it is active in Calendly, then select Refresh from Calendly.
  • A booking failed. Lend1 sends you a notification saying the Calendly booking failed to process, with the person's name and email. Check the booking in Calendly and add the contact by hand if needed.
